Terms and Conditions

1. Introduction

These Terms and Conditions govern all bookings made with Vietnam Luxury Tour (“we,” “our,” or “the company”). By confirming a reservation, you (“the client” or “the traveler”) acknowledge that you have read, understood, and agreed to these terms.

2. Booking and Confirmation

All bookings must be made through our official website or authorized representatives.
A booking is considered confirmed once a deposit or full payment is received and a written confirmation is issued by Vietnam Luxury Tour.
The person making the booking must be at least 18 years old and have the authority to accept these terms on behalf of all travelers included in the booking.

3. Payment Policy

A deposit of 30% of the total tour price is required at the time of booking.
The balance payment must be made at least 30 days before departure.
For bookings made less than 30 days before the tour date, full payment is required at the time of confirmation.
Payments can be made by bank transfer, credit card, or other methods as advised.

4. Cancellation Policy

If the client cancels the tour, the following charges apply:

More than 30 days before departure: 10% of total tour cost.
15–30 days before departure: 30% of total tour cost.
7–14 days before departure: 50% of total tour cost.
Less than 7 days before departure or no show: 100% of total tour cost.

All cancellations must be made in writing and acknowledged by Vietnam Luxury Tour.

5. Changes by the Client

Any request to modify an itinerary must be made in writing.
Changes are subject to availability and may incur additional costs.
Major changes made within 14 days of departure may be treated as a cancellation and rebooking.

6. Changes or Cancellations by the Company

Vietnam Luxury Tour reserves the right to cancel or modify a tour in case of:

Natural disasters, political instability, epidemics, or other force majeure events.
Low booking numbers that make operation impractical.

If cancellation is necessary, the client may choose:

A full refund, or
An alternative tour of similar value.

We will not be liable for additional expenses caused by such changes (e.g., flights, visas, insurance).

7. Travel Insurance

All travelers are strongly advised to purchase comprehensive travel insurance covering:

Trip cancellation or interruption
Medical expenses
Baggage loss or damage
Personal accident

Vietnam Luxury Tour is not responsible for any costs arising from a lack of insurance coverage.

8. Responsibilities and Liabilities

Vietnam Luxury Tour acts as an intermediary between travelers and service providers (hotels, transport companies, cruise operators, etc.).
We ensure all partners maintain professional standards but are not liable for acts, omissions, or negligence of third parties.
The company is not responsible for loss, injury, delay, or damage caused by natural disasters, political unrest, or other events beyond our control.

9. Traveler Responsibilities

Travelers are expected to:

Possess valid passports, visas, and health documents required for travel.
Comply with local laws, customs, and regulations during the tour.
Respect the group schedule and follow the guidance of tour leaders or guides.
Be responsible for their own health and personal belongings.

10. Complaints and Claims

Any complaint must be reported to the tour guide or company representative immediately so that corrective action can be taken.
If the issue remains unresolved, a written complaint should be sent to Vietnam Luxury Tour within 14 days of tour completion.

11. Privacy Policy

All personal information provided to Vietnam Luxury Tour is kept confidential and used only for travel arrangements, customer service, and legal requirements. We will not share your information with third parties without consent.

12. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of Vietnam. Any dispute shall be subject to the exclusive jurisdiction of the courts of Vietnam.

13. Acceptance

By making a booking and payment, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
